Responsibilities

  • Ensure that all final data is compliant with all OVC/DREAMS reporting requirements before entering it into the database and filing.
  • Enter approved, correct data into the OVC/DREAMS database per set time frames to meet reporting requirements.
  • Facilitate ward level review meetings
  • Conduct basic identification of data quality gaps and guide the data clerks accordingly.
  • Conduct monthly verification of source documents.
  • Ensure all OVC/AGYW files are complete with all the documentation and ensure filing is done according to the SOP.
  • Provide weekly performance data, and analysis, and discuss with the program team.

NURSE

    JOB SUMMARY:
    The MEAL Officer will report to the County MEAL Officer for Mombasa and be responsible for day-to-day tracking, monitoring, and reporting of activities under the USAID Tujitegemee project, particularly focusing on the OVC (Orphans and Vulnerable Children) and DREAMS programs. Key responsibilities include the development of standardized data collection tools and systems, monthly data collection, validation of reported results, and analysis of project progress. The MEAL Officer will also support the establishment of accountability mechanisms and facilitate continuous feedback loops with partners and beneficiaries, working closely with government departments such as the Ministry of Health and the Department of Children Services.
    The officer will ensure systems are in place to measure the project’s impact, ensuring data is available for evidence-based decision-making. This role will emphasize capacity building of staff in MEAL, ensuring project beneficiaries can give and receive feedback. Additionally, the officer will focus on capturing project learning and aligning it with the OVC/DREAMS program objectives.
    SPECIFIC RESPONSIBILITIES:
    Monitoring:
    •Ensure Tujitegemee MEAL systems align with both AMURT and donor requirements, especially for OVC and DREAMS programs.
    •Participate in developing and standardizing forms and tools to collect disaggregated data related to OVC and DREAMS project monitoring indicators.
    •Design data flow maps to ensure timely and efficient reporting.
    •Develop tools to track progress on household graduation and sustainability plans.

Ananda Marga Universal Relief Team (AMURT) is a local non-governmental organization registered in Kenya in 1993. AMURT works in close collaboration with national and county governments in Kenya under the Ministries of Health, Ministry of Education, Ministry of Labour and Social Protection and Ministry of Gender and Youth.

AMURT core programming is community-based health care provision with a focus in primary health care, DREAMS & OVC care & support, youth programming, and emergency humanitarian relief.

AMURT is implementing a grant, USAID Tujitegemee program which is a five-year project (March 2021-Feb 2026) funded by USAID Kenya and East Africa to implement OVC[1] and [2]DREAMS activities in Mombasa and Kilifi counties under the Kenya Health Partnership for Quality services (KHPQS) framework with an aim of increasing access and demand for quality HIV Prevention Services, increasing access to Quality Health and Social Services for OVC and their Families.

The project is implemented by AMURT as the prime partner, and four consortium partners. AMURT wishes to recruit a Grants & Compliance Manager, under USAID Tujitegemee program which is currently in year 4 of implementation.

 

Job purpose

 

The Grants and Compliance Manager (GCM) will provide overall technical support in the management of sub-grants while working very closely with finance team. He /she will facilitate training in program and finance management to sub-grantees, support sub-partners on sub-grant management and assist in reviewing sub-grants agreements. The incumbent will be responsible for ensuring compliance with USAID rules and regulations, and legal and regulatory requirements governing the award. The GCM will oversee the overall compliance in the activity implementation from the development of work plans and budgets, reporting, sub granting, and budget administration as assigned by the COP or his/her designee. The GCM will be involved in developing and embedding best practices to comply with donor financial rules, supporting donor proposal budgeting, analysis of institutional income, donor contract expenditure tracking, monitoring and providing management information on key risks, contributing to the implementation of improved financial systems and processes to facilitate better donor reporting and compliance.

Preparation of donor reports

  • Prepare donor reports in alignment with AMURT and USAID requirements
  • Maintain files for approved grants and special projects showing:
    • Agreement and donor regulations
    • Approved budget and proposals
    • Financial reports sent to donors
    • Any other grants correspondence
  • Review and where necessary provide appropriate expense codes for items requested by project staff to ensure accurate postings
  • Prepare analysis of grant expenditure for management action to help in monitoring the burn rate for grants and special projects.

Compliance with grants regulations requirements

  • Review expenses charged to grants for accuracy and completeness.
  • Ensure grant projects close out procedures are done according to the donor guidelines.
  • Ensure donor requested information is submitted on time.
  • Ensure grant implementation and reporting follows donor rules and regulations.

Qualifications

  • Chartered Accountant (CPA, ACMA, ACA, ACCA) strongly recommended and membership should be in good standing.

Job purpose 

The SPO- HES will be responsible for efficient and effective roll-out of Household Economic Strengthening (HES) activities in Kilifi County.  S/he will support Local Implementing Partners (LIP) to implement, monitor and report a mix of household resilience building  project activities. This will also entail capacity strengthening through training, mentorship, and technical support to field and LIPs staff in support of USAID Tujitegemee project. His/her thorough and service-oriented approach will ensure that the project consistently applies best practices and constantly works towards improving the impact to Orphans and Vulnerable Children (OVC) and their caregivers. H/she will coordinate closely with other project staff to contribute to a holistic, integrated, and comprehensive project implementation.

Responsibilities

  • Support LIPs to coordinate implement, and monitor all HES project activities as outlined in the workplans in line with USAID Tujitegemee program quality principles and standards, donor requirements, GOK requirements, and good practices.
  • Monitor and report any challenges and/or gaps identified to inform adjustments to plans and implementation schedules.
  • Assist local implementing partners (LIPs) in their efforts to reflect on project experiences
  • Support accountability through coordinating project evaluation activities and assisting LIPs in their efforts to collect and analyze project data per specified mechanisms and tools. Collaborate with LIPs to prepare reports per established reporting schedule.
  • Provide capacity strengthening to LIP staff through trainings, workshops, facilitated group interactions, as well as accompaniment through regular communication, and site visits to support the successful implementation and monitoring of HES project activities.
  • Collect information on technical assistance needs of LIPs, provide technical support and monitor capacity building and technical support activities to ensure effective impact.
  • Complete project documentation for assigned activities and assist with identifying information for case studies and reports on promising practices. Actively engage in dissemination and use of relevant knowledge in the field.
  • Represent the project in meetings at County and cluster levels, working groups, and other events as requested, to support forging relations with the GOK, LIPs, other stakeholders, and the community.
  • Ensure accurate and timely reporting of all assigned project activities per donor and USAID Tujitegemee project standards and established schedules.

 

Qualifications

  • At least 5 years of relevant and recent work experience managing project support in the field of household economic strengthening/livelihood programming in Kenya and in an NGO setting.
  • Understanding of donor expectations for program results delivery and reporting.
  • Extensive experience on community-based savings and loaning models
  • In depth understanding of HES approaches in economic strengthening of communities through social assistance, asset growth & promotion and income growth.
  • Knowledge and experience in OVC vulnerability assessment and case management approach
  • Demonstrated experience in stakeholder management
  • Experience monitoring projects, collecting, analyzing and use relevant data including use of project management information systems
  • Computer skill proficiency with ability to utilize MS Windows and MS Office packages .
